Overview:

We are seeking an Asset Management Analyst to join our fast-growing team! The Asset Management Analyst will play a critical role in centralizing the asset management functions to standardize Brennan Investment Group’s (BIG) policies, procedures, and Operating Principles across all of BIG’s regions, supporting the entire Operations platform of BIG, working directly for the Director of Operations as its “right hand person”. The role requires meticulous organization skills, excellent analytical skills, and a strong work ethic to enhance BIG’s Operations platform, facilitating cohesiveness across BIG’s 18 regions. The Asset Management Analyst will also assist the leasing team and other personnel in Operations with special projects and corporate-level initiatives. Responsibilities

  • Directly support the Director of Operations with analysis, review, and reporting of property performance. Serve as the Director of Operation’s “right hand person”, understanding all investments and maintaining a high level of organization.
  • Assist with standardizing BIG’s leasing and property management procedures and ensuring all regions are cohesive.
  • Assist with tracking performance at both the Corporate and Property/Portfolio Level:

— Review and analyze operating performance of owned assets.

  • Monthly review of collections/credit concerns across regions.
  • Enhance BIG’s Operating Principles:

— Review and analyze operating performance of owned assets.

— Review analyses from BIG’s Analysts/Leasing Associates throughout all BIG regions to ensure accuracy and that it meets BIG’s underwriting criteria.

— Continuously seek ways to improve BIG’s tracking and efficiency.

  • Enhance efficiency within the entire operating process:

— Make improvements to BIG’s standardized templates including the leasing dashboard, lease analysis, tenant surveys, market analysis, sale analysis, track record, investment memorandum documents, etc.

  • Supports the development and implementation of new applications, programs, and other innovative business practices that drive increased revenue, client/customer satisfaction, efficiencies, and overall process improvements, and provides operational support to ensure the continued success of these efforts.
  • Perform monthly and/or quarterly performance analysis, providing reports to Director of Operations regarding financial performance.
  • Collaborate with Operations and Accounting teams for various projects.
  • Prepare summary schedules and help prepare asset management plans for presentation to senior management.
  • Monitor property operating and financial performance to ensure established goals and objectives are being achieved.
  • Assist with yearly budgets as needed.
  • Additional responsibilities and various ad hoc projects.

Qualifications

  • The ideal candidate will have a minimum of 1-3 years’ experience, including the qualifications noted below.
  • Strong academic performance concentrating in finance, accounting, real estate, or economics:

— Bachelor’s degree required; BS degree with concentration in finance and/or real estate highly preferred.

  • Previous experience with a commercial real estate or private equity firm highly preferred.

— Experience within the industrial real estate sector highly preferred.

  • Exceptional quantitative and analytical skills.
  • Experience in real estate financial modeling; fluency and hands-on experience in Argus Enterprise and advanced Excel modeling skills required.
  • Exceptional organizational skills and impeccable attention to detail.
  • Strong written and verbal communication skills.
  • Highly motivated, with ability to work both independently and as part of a team in a fast-paced environment.
  • Excellent time management skills, with the ability to manage multiple projects and deadlines.

Responsibilities

  • Negotiate and document new leases and renewals directly with tenants or via third-party leasing agents.
  • Prepare reports and host weekly leasing and property management calls.
  • Manage tenant requests for assignments, subleases, name changes, terminations and other tenant related issues.
  • Prepare net effective rent analyses (NERs) for proposed leases and renewals.
  • Develop and implement the asset management strategy for the portfolio with input and oversight from senior management.
  • Prepare market leasing assumptions (MLAs) for annual budgets.
  • Communicate effectively with tenants, lenders and partners including reserve draw requests, compliance with insurance requirements, tax escrows, leasing, capital projects and other approvals.
  • Establish and foster strong broker and tenant relationships to promote occupancy and portfolio retention rate.
  • Meet with brokers and prospective and/or existing tenants for leasing, renewal, and expansion opportunities.
  • Regularly visit the properties in each market to keep constant contact with tenants, brokers, and vendors.
  • Work with property management to expedite the space planning and tenant improvement process to maximize leasing velocity.
  • Liaise with tenant contacts and manage the property management process to communicate property information and tenant space needs to appropriate parties.
  • Prepare, present, and execute comprehensive leasing plans for each asset with the goal of maximizing rents and creating value.
  • Forecast competitive space availability for each property and develop marketing/pricing recommendations to maximize the asset value of each property.
  • Collect and organize market information including lease and sale comparables to gain a competitive advantage in the leasing and sales market.
  • Make recommendations and assist in the coordination of property improvements designed to supplement the leasing process.
  • Work with the Senior Vice President on leasing, underwriting and due diligence for new acquisitions and developments.
  • Work with the dispositions team on due diligence and execution of sales and recapitalizations.
  • Regularly review the portfolio for opportunities to upgrade tenancy, increase rent and term and improve lease language/provisions to add long-term value to the assets.
  • Continuously evaluate operating cost by monitoring each property’s performance and results against approved budgets, recommending and/or approving necessary adjustments to achieve the scheduled cash flow or asset value objectives.
  • Review monthly operating reports for each property including asset summary reports, financial statements, and variable explanations, leasing activity reports, rent roll, accounts receivable, fee schedules, and capital expenditure schedule. Implementation and use of lease administration software.
  • Create, maintain and update monthly reports for capital and JV partners.
  • Create annual budgets in coordination with the property management and accounting teams.
  • Work with accounting and other team members to prepare monthly, quarterly and annual reporting materials and budgets for lenders, investors, senior management and partners.

Qualifications

  • Bachelor’s Degree from a four-year college or university.
  • 3-5 years institutional asset management or leasing experience preferred.
  • Must have work experience in industrial/commercial real estate.
  • Must be able to consistently maintain a professional demeanor.
  • Ability to provide superior internal and external customer service; strong diplomacy and crisis diffusion skills.
  • Must be able to multi-task; prioritize and work with minimal supervision, have strong attention to detail and excellent time management skills to ensure all established deadlines are met.
  • Demonstrated ability in verbal and written communication skills.
  • Skilled in the use of the internet, spreadsheets, relational databases, and word processing software. Ability to process computer data and to format and generate reports. Ability to create, compose, and edit written materials.
  • Proficient working knowledge of Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook)
  • Good mathematical and analytical skills.
  • Requires a valid driver’s license and the ability to travel to multiple properties.
  • As business dictates, able to work extended/flexible hours (e.g., nights/weekends/on-call).
  • MRI, Argus and property management software experience a plus.
  • Membership/activity in one or more professional real estate-based organizations preferred.

Responsibilities

  • In all matters, maintain strict confidentiality and discretion.
  • Manage and prioritize a complex calendar across various sectors, resolving conflicts as needed.

-Maintain all usernames, passwords, and manage both business and personal membership renewals.

-Collaborate closely with the personal CPA and assist in gathering information for the preparation of personal taxes.

-Handle vendor payments for both business and personal expenses.

  • Perform standard administrative office duties:

-Organize and maintain comprehensive files and records for both business and personal matters;

-Print and scan documents;

-Compose, modify, and proofread correspondence, reports, and presentations.

Qualifications

  • Minimum of 10+ years of experience as an Executive Assistant, providing high-level support to C-suite executive(s) in a fast-paced environment.
  • Previous experience with a commercial real estate/private equity firm required.
  • Experience within the industrial real estate sector highly preferred.
  • Bachelor’s degree required.
  • Proven capacity for maintaining discretion and the highest level of confidentiality when handling sensitive material.
  • Excellent written and verbal communication skills, with a strong ability to manage complex correspondence and present information effectively. Ability to communicate clearly with senior leaders and external partners.
  • Exceptional organizational skills, with the ability to handle multiple priorities and deadlines simultaneously, and with utmost attention to detail, organization and process.
